What counts, what costs extra, and how we cap it

Time and scope

A team hour is one person working for 60 minutes, recorded in 15-minute increments. It covers build work, monitoring, support, meetings and training. Hours reset each Monday, do not roll over and remain weekly in five-week months. Approved extra time is $75/hour.

A procedure is an agreed business trigger through to one primary outcome, including its exception path. A connected system is one vendor product in one client tenant/account. Separately authenticated product connectors count separately and are listed in the scope. Material variants and extra system connections are scoped separately. A user is a named account whose access we configure, not a vendor licence. Extra users cost $10/user/month after approval; setup uses team hours.

Processing

One execution is one accepted business event through an agreed procedure. Technical steps, duplicate webhooks and automatic retries do not count again. A new event or requested rerun does. Extra capacity: $100 per approved block of 1,000 executions.

A document is one file, but we count pages: one PDF/image page up to A3 or 3,000 text characters, rounded up. OCR counts once. Limit: 20 MB and 100 pages per file. Extra capacity: $50 per approved 500-page block. CAD, handwriting, audio and video require a separate scope.

Storage and technology

A GB is one billion bytes. Original files, search indexes and retained backups share the allowance, measured at the daily peak. Extra storage is $10 per approved 10 GB block/month. Historical imports are separately scoped.

AI, OCR, hosting, messaging, vendor licences and API charges are paid at actual cost, with zero markup, preferably on your own accounts. Processing allowances are managed capacity, not prepaid vendor usage. Voice is excluded unless agreed.

We agree a dollar cap before activation, alert at 80% and pause new cost-incurring work at 100%, with a reserve for billing delays. You approve any increase. Elastic has metered usage and a signed rate card, never unlimited staff time.

Commitment

Monthly billing in advance. Initial three-month term, then monthly with 30 days’ notice. Unused monthly processing allowances expire. No unapproved chargeable expansion. Final scope, fees, service hours and access arrangements are confirmed in writing.

Do we need to replace our software?

Usually, the first step is to make better use of what you have. We inspect native features and integration access before recommending a build. If a simple software setting solves the problem, we will say so. Specific connections are confirmed during discovery.

Will AI send quotes or change our prices?

Your estimator approves quantities, scope and price. Your office approves commitments, changes and invoice release. We prepare and route the work. We do not automate engineering judgment, safety certification or bank-detail changes.

Who can access our job and customer records?

Only named, authorised people and approved systems within the agreed scope. We use least-privilege access, separate client environments and audit records. We agree processing and backup locations, overseas access and retention before implementation. No model training on your records without separate authorisation. Hosting in a country alone does not mean data stays there.

What happens when something stops working?

We monitor runs, flag failures and keep a documented manual path. Proposed support overlap is Monday to Friday, 9am to 1pm US Eastern, excluding disclosed holidays. Service interruptions are acknowledged within four supported hours; routine requests by the next supported business day. Resolution depends on the issue. This is not a 24/7 staffed dispatch service.

How do we know the pilot helped?

We compare similar requests before and after: preparation time, missing information, corrections and unhandled requests. Targets are agreed after the baseline. We review results and costs together before widening the scope. A faster draft is only useful if the office can trust it.

Can we leave with our data and workflows?

You own your operational records and client accounts. On exit we hand over the agreed workflow exports and documentation, remove our access and follow the signed retention and backup-deletion schedule. Vendor licences and export capabilities are confirmed before implementation.

Provider/account retention is separate. Google processing may take place outside your country.

Your device stores an accept/reject preference for 180 days. Rejecting blocks analytics. Withdrawing via Cookie settings stops it and removes this campaign’s host-scoped analytics cookies, but does not automatically erase prior records. We respect Global Privacy Control. Without JavaScript, no optional analytics loads. Hosting providers may keep operational request logs under their own retention settings; hosting and analytics account retention must be confirmed before release.
